FAQs: Consultation page - new and improved!

This article contains frequently asked questions related to the changes and improvements related to the Consultation page.

SETUP

For existing customers created before March 28:

The new consultation page will be released to existing customers on and after March 28 in phases.

As your company is phased in, a user with the System Admin permission can enable the new experience with the new Try our new experience toggle found on the Consultation page.

Note: The Try our new experience toggle will display only for users with the System Admin permission.

Once enabled, you can disable the experience to return to the legacy Consultation page, if needed.


All users will see and get to use the new Consultation page once you have activated it.


No! You only need to activate the new Consultation page once by clicking the Try our new experience toggle on the Consultation page. This will enable the experience for all your staff.

If you need to disable the new Consultation page, your practice will no longer see or be able to use the updates including but not limited to autosave, patient signalment at the top of the page, improved payment workflow, duplicate products warning, and improved multi-user editing warnings.


All users will see Patient History panel when your practice has the new Consultation page toggled on.


No. The Patient History panel is not customizable.

Note: All information recorded in the patient history is displayed in each corresponding tab of the Patient History panel.


No. All users will see the Save & Print button in the Prescribe /Refill and Edit Vaccine Details windows when your practice has the new Consultation page toggled on.


No. All users will see the Description box on consultations when your practice has the new Consultation page toggled on.


USAGE

  • Auto-save functionality
    • Neo will automatically save as you update the consultation, reducing risk of data loss.
    • All fields except Consultation Notes automatically save on the new Consultation page.
      Note: After the first field has automatically saved users will need the Edit Consultations permission to continue working in the consultation.
  • Improved client and patient alerts
    Client and patient alerts stand out at the top of the Consultation page and are easier to read.

  • Patient signalment displays at the top of the Consultation page
    Easily view the patient name, species, breed, age, current weight, and temperament at the top of the Consultation page.

  • Patient History panel
    Quickly and easily view a patient’s history without ever having to leave the consultation you are updating. Click one of the tabs in the Patient History panel to view the history. Then click a link, as available to navigate to the corresponding record, which will open in a new browser tab.

  • Date picker updated
    The Consultation Date is updated to reduce future dating and backdating to 90 days from the consultation creation date.
    • Future date up to 90 days from “today”
    • Backdate up to 90 days from “today”
  • Multi-user editing improvements
    Reduce chances of overwriting notes with improved multi-user editing warnings. See Overview: Understanding multi-user consultation editing for complete details.

  • Procedure templates updates

    • Procedure templates Favorites list - Add procedure templates to your Favorites list to easily locate and select your most frequently used procedure templates.
      • The logged in user’s favorite procedure templates will always display at the top of the Procedure Templates drop-down list even when searching by keyword.
    • Procedure templates relocated 
      • Procedure templates are now accessed under the patient Vitals (Weight, etc.) on the Consultation page, to provide a more seamless workflow.

    • Add procedure templates to closed consultations

      • Procedure templates notes, products, or both can be added to closed consultations based on the status of the consultation or consultation notes:

        • Draft consultation with unlocked notes: notes and products
        • Draft consultation with locked notes: products only
        • Closed consultation with unlocked notes: notes only
          Note: You cannot select a procedure template when the notes are locked, and the consultation is closed.
      • View credits and unpaid invoices with improved payment workflow

        • When you click Pay or Refund on the new Consultation or Refund pages, the Outstanding Invoices page for the client opens instead of the payment modal; so you can see other invoices that need to be paid or available credits that need to be applied. 
          • The current consultation will be selected for you.
          • Payment can be taken as usual.

      • Consultation Provider prompts

        • You will be prompted to update blank product line providers when you select a consultation provider that was previously left blank.

      • Consultation Notes - View and Edit modes

        • Consultation notes have new view and edit modes, to further protect notes that already have been entered.

          • To edit consultation notes, click the Edit Notes link or anywhere in the Notes field.

          • To save consultation notes, click the Save Notes button or on another area of the consultation.

      • Consultation product lines

        • Each field automatically will save as you tab or click to the next field.

      • Prescribe/Refill and Edit Vaccine Details have a new look and feel, while functionality remains the same.

      • Diagnostic ordering errors display below the Order Diagnostics button, so you can easily review them.

      • Close consultations and invoices improvements

        • Close the consultation by clicking the Ready to Pay or Close Consultation button instead of the Is this invoice ready to be paid? checkbox.

          • When the consultation total is more or less than $0, you will see the Ready to Pay button.

          • When the consultation total is $0 or is only notes, you will see the Close Consultation button.

      • Duplicate product warning when closing the consultation

        • When you click Ready to Pay to close the consultation, you will receive a duplicate product warning which includes the products that display on more than one consultation product line. This will allow you to easily review and update the consultation product lines before proceeding.

      • Printing improvements
        o Click the Print button to view your printing options.
        o Labels will only appear in the list if there are label notes for at least one product on the consultation.


All fields on the new Consultation page will save automatically when you tab from a field, select from a list, or click in another area of the page.

On-screen alerts will communicate successful and unsuccessful save and error messaging.

Note: While consultation notes will save automatically, you have the option to put the Notes box in view mode when working in other areas of the consultation. To put the Notes in view mode either:

  • Click Save Notes.
  • Click Save, Ready to Pay, or Close Consultation at the bottom of the consultation.
  • Navigate to a new page in the same browser tab.

Consultation notes will save automatically when you click in another area of the consultation. The Notes box will remain in edit mode.

Consultation notes can also be saved when you either:

  • Click Save Notes.
  • Click Save, Ready to Pay, or Close Consultation at the bottom of the consultation.
  • Navigate to a new page in the same browser tab.

Note: The above actions will put the Notes box in view mode. If you need to enter additional notes, click the Edit Notes link. 


Yes, You will be warned when another user:

  • Opens the consultation you have open.
  • Closes the consultation you have open including:
    • Closing the browser tab or window.
    • Navigating to a new page.
    • Keeping the consultation open but opening /navigating to another browser tab.

Note: It can take approximately 30 seconds for the alert to appear.


Yes. You will be alerted when another user clicks into the consultation notes on the consultation you are working in.

You also will be alerted when that user saves their consultation notes.

Note: While more than one user can enter consultation notes at the same time, we recommend waiting until you see the alert the other user has left the consultation to avoid overwriting data.


Yes. You will be alerted and prompted to refresh your consultation when other users are working in the same consultation, and the latest changes are not displayed on your page if you:

  • Edit a field that another user changed or deleted.
  • Delete a product that another user changed or deleted.
  • Close the consultation i.e., click Ready to Pay or Close Consultation.

If another user has saved changes to consultation notes, you will receive an overwrite warning when you save notes.

Note: While more than one user can enter consultation notes at the same time, we recommend waiting until you see the alert the other user has left the consultation to avoid overwriting data.


You can set a procedure template as a favorite on the Consultation page. Simply click the star in the procedure template drop-down list to add the procedure template to the logged in user’s favorite list.

For multi branch practices. Favorites need to be set for the user for each branch.


To remove a procedure template from the Favorites list, click the gold star next to the procedure template name in the Procedure Template list on the Consultation page.


No. You must be logged in as the user when setting procedure templates as favorites.


No. Favorite procedure templates cannot be set for all users at one time.


Use the Patient History panel when you need to review patient records while adding or updating a consultation, eliminating the need to open additional browser windows or tabs.


The Patient History panel includes view-only versions of the five most-accessed tabs in the patient record.

Tab Details Tip
Problems Date, Consultation ID, Problem Click the Consultation ID to view the consultation where the problem was recorded.
The consultation will open in a new browser tab.
Reminders Reminder, Due Date, Last Send Date, Next Send Date  
Results Ordered (date), Updated (date), Status, Order (diagnostics ordered)

Click the diagnostic product in the Order column to view the patient Results tab.

The patient Results tab will open in a new browser tab.

Rx Prescribed (product), Rx ID, Fill Date, Provider, Qty, Refills

To view the prescription instruction /label notes, hover over the information icon.

 

To view the discontinued prescription reason, hover over the discontinued icon.

Vitals Date, Weight and weight unit, Temp, Pulse, Resp, Staff  

To view the Patient History panel, click the tab you want to view or click the arrow.

When the Patient History panel is open, the arrow is replaced with an X.

Note: When you click the arrow, the Patient History panel will default to the Problems tab.

From the Problems tab, you can click the Consultation ID to view the consultation where the problem was recorded.

From the Results tab, you can click the diagnostic product in the Order column to be taken to the patient Results tab and review historic results.

Note: The corresponding record will open in a new browser window.


When the Patient History panel is open, click a tab name to view the corresponding tab’s history.


To close the Patient History panel, click the X in the upper-right corner of the panel.

The Save & Print button is displayed in the Prescribe /Refill window.


The Save & Print button is displayed in the Edit Vaccine Details window when the vaccine product is set up as a rabies vaccine.


For printing a prescription label:

  1. After you have entered the prescription details in the Prescribe/Refill window, click Save & Print.
    Note: The prescription details will save to the patient Rx tab.
  2. The prescription label will open in a new browser tab. Print your prescription label.
    • Click Print to print to a local printer.
    • Click Cloud Print to print to a cloud printer, as available.
      Note: If your practice’s prescription label template is set to auto-print, you will not need to click Cloud Print.
  3. Click Close Window to close the browser tab and return to the consultation.

Note: You still can print or reprint the prescription label from:

  • the consultation product line.
  • the top of the consultation page.
  • the patient Rx tab.

For printing a rabies vaccine certificate:

  1. After you have reviewed and updated any vaccine details the Edit Vaccine Details window, click Save & Print.
    Note: The rabies vaccine details will save to the Vaccines tab. The tag number also will save to the Rabies Tag # box in the patient Overview.
  2. The rabies certificate will open in a new browser tab. Print your rabies certificate.
    • Click Print to print to a local printer.
    • Click Cloud Print to print to a cloud printer, as available.
      Note: If your practice’s rabies certificate template is set to auto-print, you will not need to click Cloud Print. 
  3. Click Close Window to close the browser tab and return to the consultation.

Note: You still can print or reprint the rabies certificate from:

  • the consultation product line.
  • The Edit Vaccine Details window when the rabies tag has not yet been entered.
  • the patient Vaccines tab.

When you are viewing a new or saved consultation, the consultation Description box will display to the right of the Provider dropdown.

To enter a visit description:

  1. After you select the consultation provider from the Provider dropdown, press Tab.
    or
    Click into the Description box with your mouse.
  2. Enter the visit description in the Description box. For example, itchy; annual exam; etc.
    Note: The Visit Description box has a 150-character limit.
  3. The visit description will automatically save after you tab or click out of the Description box.

The appointment reason will be added to the consultation when the consultation is:

  • created from an appointment.
  • converted from an estimate that was created from an appointment.

The appointment reason will display above the Description box.

You can view the appointment reason and consultation description from:

  • a consultation in any status.
  • the Consults tab.

To edit the appointment reason on a consultation, locate the appointment on the Schedule. Open the appointment card, edit the appointment reason, and click Save,



TROUBLESHOOTING

You can! Click the Print button at the top of the Consultation page, then select Labels.

Note: Labels will only appear in the list if there are label notes for at least one product on the consultation.


Favorites are based on the logged in user, so make sure your username is in the upper-right corner. If needed, click the username, select Switch Users, and enter your Neo credentials.

For multi-branch practices. Favorites are per user per branch, so make sure you have set your procedure template favorites for each branch you have access to.


The Edit Notes link will only be visible for logged in users with the Edit Consultations permission and when the consultation notes are unlocked.


The Patient History panel is only visible from the Consultation page when your practice has the new Consultation experience activated.


The Patient History panel will remember the last tab viewed on a consultation until the page is refreshed or returned to by a user.

The tab the Patient History panel will open to when you click the arrow will be bolded and underlined.

Corresponding information will open in a new browser tab, so you can easily review the patient record then return to the current consultation you were working in.

The Patient History panel will update anytime the page or tab is refreshed or returned to by a user.


Yes! Information from the consultation you are currently viewing will display in the Patient History panel.

Note: When you update the current consultation while viewing the corresponding tab in the Patient History panel (for example, refilling a prescription while viewing the Rx tab), you will need to either refresh the page or click another tab to update the panel.


All fields except consultation notes on the new Consultation page will automatically save when you tab from a field or select from a list.

To save your consultation notes, you must either click the Save Notes button or in another area of the consultation.


Appointment reasons will only display for consultations:

  • created from an appointment.
  • converted from an estimate that was created from an appointment
