Merge or move patients

If you have duplicate records for a patient, you can merge them.  You can also move a patient from one client to another. This article reviews what happens to the original and new patient records, and how to complete a move or merge in Neo. 

When you complete a move or merge, the original patient record will still exist under the original owner but:

  • will be automatically marked inactive.
  • a note is added to the Notes section of the patient Overview  indicating whether the record was moved or merged and the new patient ID.

The new patient record will have a copy of all consultations and products dispensed.

  • Draft consultations will be moved to the selected record with the consultation line item amounts.
  • Paid consultations will be copied to the selected record with a $0.00 value.
  • Unpaid and partly paid outstanding balances cannot be transferred and must be paid or updated to draft consultations before moving or merging a patient.

The original patient's appointments, estimates, problems, vitals, reminders, files, alerts, and diagnostic results will all be transferred to the new patient record.

Communication log messages and callback tasks will not be transferred to the new patient record and remain intact on the original patient.

Move or merge a patient record

  1. Search for and select the patient record you want to merge or move from (this is the record that will become inactive).
  2. In the right sidebar, click the Click to Move/Merge this record link.
  3. To move a record to another client, click the Move radio button. Then search for and select the client in the Select a Client dropdown that you want to move the current patient to.
    Note: You can search by client name, phone number, or client ID.
    OR
    To merge two patient records, click the Merge radio button. Then search for and select the patient in the Select a Patient dropdown that you want to merge the current patient record to. 
    Note: You can search by patient name, last name, or patient ID. 
  4. Review your selections carefully.
    IMPORTANT: Once you complete a patient move or merge, the action cannot be reversed. 
  5. Click Submit.

Additional information

If a patient record includes extensive medical history, the move or merge action may time out after you submit it. For example, the patient record includes ~200 consultations due to an older patient with chronic medical conditions, or a foster pet's record that has been moved multiple times.

In the event Move /Merge does time out and cannot be completed, we recommend manually creating a new patient record then recording the related patient IDs on both the new and original records: 

  • In the Notes box on the patient Overview.
  • On the patient Alerts tab.
