Add and manage files

Neo offers unlimited, secure file storage. You can add files, including pictures, to client and patient records and consultations; and uploaded files are saved within Neo.

Add a file to a patient or client record

  1. Open the client's or patient's record.
  2. Click the Files tab.
  3. Click the Options drop-down button and select Add File.
  4. Optional. Enter a title for the file.
  5. Optional. Select a category to describe the file type. To set up categories, go to Administration > Company Settings > Data File Categories.
  6. Click Choose File, browse to the file's location on your computer, and select it. The maximum file size is 25 MB.
  7. Click Upload File.

For practices with Vello enabled. Vello Digital Forms will automatically be added to the Neo client and patient Files tab as a PDF after the form is completed by the client. The default category is Uploaded by Partner System, but you can select a different category, if desired. The Vello Digital Forms have the same functionality as PDFs that are manually uploaded (view, print, delete, modify Title and Category).

Add a file to a consultation

  1. Open a consultation and then save it.

  2. Click the Files tab.
  3. Click Add New File.
  4. Click the Options drop-down button and select Add File.
  5. Optional. Enter a title for the file.
  6. Optional. Select a category to describe the file type. To set up categories, go to Administration > Company Settings > Data File Categories.
  7. Click Choose File, browse to the file's location on your computer, and select it. The maximum file size is 25 MB.
  8. Click Upload File.

View a file

  1. On a patient or client record or on a consultation, click the Files tab.
  2. Click the name of the file to view it.

Delete a file or edit details

  1. On a patient or client record or on a consultation, click the Files tab.
  2. Click the menu button in the file row and select:
    • Edit: In the Edit File window, add or update a file name and category.
    • Delete: Click OK to confirm the deletion.

Edit a file's content

These steps work for editable file types (.doc, .xls, etc.) that have been uploaded to Neo. You can identify these files by the file extension included either in the title or in the file name listed beneath the title. 

Note: For forms or certificates that have been saved to Files, you must open the document from the respective Client Forms or Patient forms button, update it, and then save it again as a file. For more information, see Print or email forms and documents.

  1. On a patient or client record or on a consultation, click the Files tab.
  2. Click the file name to download it to your computer.

  3. Open the downloaded file.
  4. Make any changes and save the file.
  5. Add the file to the Files tab. For more information, see the Add a file to a patient or client record section.

Email a file—editable file types (.docx, .xlsx, etc.)

These steps work for editable file types (.doc, .xls, etc.) that have been uploaded to Neo. You can identify these files by the file extension included either in the title or in the file name listed beneath the title.

  1. On a patient or client record or on a consultation, click the Files tab.
  2. Click the file name to download it to your computer.

  3. Open the downloaded file.
  4. Make any changes and save the file.
  5. Outside of Neo, open and begin an email.
  6. Attach the file and then send the email.

Email a file—other file types (image, PDF)

Use these steps to email other file types; for example, image and PDF files. 

Note: For forms or certificates that have been saved to Files, you must open the document from the Client Forms or Patient Forms button again, update it, and then email it. For more information, see Print or email forms and documents.

  1. On a patient or client record or on a consultation, click the Files tab.
  2. Click the file name. The file opens in a new tab.

  3. In the new tab, right-click the file and select Save As
  4. Name the file, and then save the file to your computer.
  5. Outside of Neo, open and begin an email.
  6. Attach the file and send the email.
