Block appointments

Block appointments allows you to block time on your schedule that isn’t connected to a patient visit using a similar workflow as creating an appointment. Whether it is a staff meeting, training event, or just time for lunch, your schedule can reflect everything that is happening at your busy practice with a more complete view of your practice’s activities.

Schedule block appointments

Permission required: All users can schedule block appointments.

  1. Click the Schedule tab.
  2. Navigate to the applicable date.
  3. Double-click in the time slot of the room where the block should start.
    Tip: Tablet and mobile device users must click the +Add button mceclip0.png
  4. Click the Block Appointment button.
  5. In the Event Title* box, enter a description for the block. (For example: lunch, meeting, vacation, etc.) 
    Note: This field is required.
  6. Verify the room the block will be scheduled in.
    Note: If you need to set a block for a different room, we recommend clicking Cancel then double-clicking in the correct room, to avoid scheduling conflicts.
  7. Verify the Date reflects the date you want to schedule the block.
  8. Change the From and To time blocks, if more time is needed.
    Note: If you need to set a block for a different time, we recommend clicking Cancel then double-clicking in the correct time, to avoid scheduling conflicts.
  9. To schedule a recurring block for a single room, toggle on This is a recurring appointment and select the recurrence pattern:
    • Recurs Weekly Every (Example: 1=weekly; 2=every other week)
    • On [day(s) of the week] - click on 1 or more day for the block to recur on
    • Recurrence Ends on - defaults to 6 months from the block start Date. Click on the Recurrence Ends on date to select a different date from the date picker.
      Note: Recurring blocks are easily identified by the circular arrow icon in the upper-right corner when viewing the block on the schedule.
  10. Click Save.

Edit a block appointment

Permission required: Edit Block Appointments

  1. Click the Schedule tab.
  2. Locate the block appointment on the schedule.
  3. Double-click the block appointment or click Edit (the pencil).
    Note: You will see the Copy icon instead of Edit if you do not have the Edit Block Appointments permission. If need to edit block appointments, please talk with your practice administrator to discuss permissions.
  4. If this is a recurring block, click This occurrence only if you only want to change this occurrence. This occurrence won’t be included in any updates to the series moving forward.
  5. On the Block Appointment page, update the information as needed.
  6. Click Save.

Copy/paste block appointments

Permission required: All users can copy /paste block appointments

  1. Click the Schedule tab.
  2. Locate the block appointment on the schedule.
  3. Double-click the block appointment or click the icon displayed in the upper-right corner.
    Note: The icon displayed depends whether you have the Edit Block Appointments permission.
    • Edit (the pencil) – you have the Edit Block Appointments permission
    • Copy (the two pieces of paper) – you do not have the Edit Block Appointments permission.
  4. If this is a recurring block, click This occurrence only if you only want to copy this occurrence.
  5. On the Block Appointment page, click Copy.
    Note: After a block appointment is copied, it can be pasted multiple times. 
  6. Click into the new date, time, and /or room on the schedule, and then click the piece of paper icon to paste.
    Note: For recurring blocks, regardless of the date you copy from, the original end date will be retained.
  7. If you copied the block appointment in step 5 and and want to use the same details to create additional blocks, repeat step 5, as needed. 
    Note: Neo will remember the copied block appointment up to an hour or until another appointment or block appointment is copied in the same session.
  8. Double-click the pasted block appointment if you need to make any changes, and then click Save.

Cut/paste (move) block appointments

Permission required: Edit Block Appointments

  1. Click the Schedule tab.
  2. Locate the block appointment on the schedule.
  3. Double-click the block appointment or click Edit (the pencil).
  4. If this is a recurring block, click This occurrence only if you only want to move this occurrence.
  5. On the Block Appointment page, click Cut to remove the block appointment from the current slot, so it can be moved to another column or to another day.
  6. Navigate to the new day, if needed, and then click into the new time.
  7. Click the paste icon.
    Note: For recurring blocks, regardless of the date you cut from and paste to, the original end date will be retained.
  8. Double-click the pasted block appointment if you need to make any changes, and then click Save.

Note: If you click a recurring block and then drag it to a new time or room to move it, you will receive an alert asking whether you want to move the entire series or this occurrence.

Delete a block appointment

Permission required: Edit Block Appointments

  1. Click the Schedule tab.
  2. Locate the block appointment on the schedule.
  3. Double-click the block appointment or click Edit (the pencil).
  4. If this is a recurring block, click This occurrence only if you only want to delete this occurrence. On the Block Appointment page, click Delete to remove the block.
  5. Click OK.
