Record existing rabies tags

Entering rabies tags issued at another practice in your patient’s record allows you to search your system for that tag number when needed.

Note: You can record only rabies vaccine information.

  1. Click the Patients tab.
  2. Search for and select a patient.
  3. Click the Vaccines tab.
  4. Click Add Existing Tag.
  5. Enter the tag number.
  6. Enter the date the tag expires.
  7. Enter any notes.
  8. Click Save.
    The tag appears in the list of vaccines. You can click the view button to view the vaccine information or click the menu button and select Void to void the tag.

Correct vaccine details

If you make a mistake entering a patient’s vaccine details, like the duration, batch number, or expiration date, you can follow these steps to make corrections based on the status of the consultation.

For unpaid consultations:

  1. Search for and select the patient.
  2. Click the Consultations tab.
  3. In the History area, locate the unpaid consultation.
  4. Click View to open it for editing.
  5. Click the menu button on the vaccine product, and then select Edit vaccine details.
  6. Update the information as needed and then save your changes.
  7. Click Save.

For partially paid or paid consultations:

  1. Search for and select the patient.
  2. Refund the vaccine.
    Note: Do not refund the payment
  3. Click the patient link.
  4. Click New Consultation.
  5. From the Provider drop-down list, select or verify the provider.
  6. Enter the vaccine in the Products/Services area and select a different line item provider, if necessary.
  7. Click the menu button on the vaccine product, and then select Edit vaccine details.
  8. Enter the vaccine details, and then click Save.
    Note: Enter the given and due dates in the Label Notes box if the correction is not made on the same day the vaccine was given. Then, verify the reminders.
  9. Select the Is this invoice ready to be paid? check box and close the invoice.
  10. Reconcile the credit to the new consultation.
    • Click Pay.
    • Select the unpaid invoice and unallocated credit.
    • Select the original payment type used.
  11. Click Refund.
    Note: The refund may show on the Payment Summary as a $0 payment if you are correcting the vaccine details with the same product that was refunded..
  12. Void the incorrect vaccine.
    • Click the View Patient
    • Click the Vaccines tab.
    • Click the menu button on the incorrect vaccine, and then select Void.
