This article covers frequently asked questions about scheduling, accessing, and downloading your practice’s Neo database and file exports.
SETUP
To schedule a database and /or files export, you must have the Business Owner role and both the System Admin and Database Copy permissions.
No. Only users in the Business Owner role that has both the System Admin and Database Copy permissions can schedule a copy of your practice database and files.
If you currently are in the Business Owner role and have the System Admin permission, you can assign the Database Copy permission to yourself and then subsequently other users at your discretion. For information how to edit user profiles, see Add and manage users.
For all other users, please contact your practice administrator to discuss permissions.
USAGE
To schedule a database and /or files export, go to Help & Support Export History. Click Schedule Export, complete the form, then click Submit.

You can schedule:
- More than one export for future dates. For example, if you will use the data for monthly reporting, schedule a database export on the last day of each month.
- A maximum of 3 exports for the same date.
When your export is ready:
- The status of the export on the Export History tab will be updated to Completed.
- The email(s) included in the Schedule Database Export window at the time you scheduled the export will receive an email notification.
You can access the export from Help & Support > Export History.

To download the export to your device, from Help & Support > Export History, click the plus sign to expand the applicable row and view the export. Then click each available export link. The items will be automatically saved to your device’s Downloads folder.
Note:
- Database = the database includes all your data and will download in a ZIP folder.

Files = the total size of your practice’s client, patient, and consultation file attachments will determine the number of links generated. Each link contains multiple attachments and has a file size limit of ~4GB

When you complete a download, the database and files will be automatically saved to your device’s Downloads folder.
To ensure security of your data, database and files links in Neo are good for 7 days from the export completed date.
You can always schedule another report, if needed.
The database can easily be imported into a MySQL instance, and then either used directly to query for information, exported to CSV files, or even converted into another database type.
No. The database is exported and downloaded in multiple, unformatted SQL files, with each file representing a different area of Neo. For example, consultation product lines, patient alerts, vaccines, prescriptions, etc.
To view a complete patient record, you must use Neo or other database type.
No. To ensure security of your data, export links are only available from Help & Support > Export History for users in the Business Admin role that have both the System Admin and Database Copy permissions.
TROUBLESHOOTING
You will only see the Export History tab when you are in the Business Owner role and have both the System Admin and Database Copy permissions.
- Check the logged in user /make sure you are logged in as yourself.
- If you currently are in the Business Owner role and have the System Admin permission, you can review your permissions and assign the Database Copy permission to yourself, as applicable.
- If you are not in the Business Owner role and /or do not have the System Admin permission, please contact your practice administrator about permissions.
Once a scheduled export status is updated to Processing or Completed, it cannot be cancelled.
If you do not need export, simply do not download it; the link(s) will expire in 7 days.
To ensure security of your data, database and files links in Neo are good for 7 days from the export completed date.
