User permissions

This document provides the list of user permissions and what they provide access to in Neo. 

To learn how to create or edit a user profile and assign permissions, see Add and manage users

Note: All users without System Admin permission regardless of role have access to Email Manager, SMS Manager, and view-only Reminders in the Administration > General section.

Permission... Allows the user to...
Billing Access

Access the Subscriptions page. 

  • View your current Neo subscription plan information
  • View contact information to update your subscription plan
  • Access link to the IDEXX Invoice Gateway
  • Access link to IDEXX Billing Support 
Branch Manager  Access Administration > Branch Management
Correct Consultations

Correct closed consultations, including provider.

  • Correct consultations up to 45 days after they have been permanently closed.
    • Permanently closed date can be viewed at the bottom of the Consultation page.
    • After 45 days from the Permanently Closed date, you can complete a refund /return.

Without needing to reopen or correct a closed consultation, users with this permission can also:

  • Edit consultation provider
  • Edit consultation line item providers
Deactivate Records

Activate and deactivate:

  • Clients
  • Patients
Delete Consultations Delete draft consultations and pending estimates.
Delete Payments Delete payments from client Financial Activity tab.
Documents Create and update Forms and Certificates templates.
Dynamic Pricing Change prices on consultations, estimates, and counter sales.
Edit Block Appointments

Edit and delete single or recurring block appointments

Note: Only pertains to block appointments. 

All users can schedule new and copy existing block appointments, whether they have this permission or not.

Edit Records

Update and save changes to existing records for:

  • Clients
  • Patients
Payment Summary

Access Payment Summary page to view payments received at your practice.

For multi-branch practices. The Payment Summary page is viewed based on the user's logged in branch.

Product Admin
Product Admin + Branch Manager

Same access as Branch Manager and Product Admin plus:

Purchase Orders

View the Critical Stock Shortages list
Create purchase orders
Receive purchase orders (i.e. create receipts)

Remote Access

Log into Neo from any IP address.
Note: If not selected, user must have their public IP address added to the Safe IP list.

Reports 

Reports page

Note: Must be selected for user to view individual reports

Individual report access is managed by clicking the Edit User Reports Access button on the user profile.

System Admin 

Access Administration > System Admin 

Plus

Unlock Notes Unlock locked consultation notes
Void Consultations

Void closed consultations

Void permanently closed consultations to hide them from the patient record.
