This article covers frequently asked questions about the Time Clock feature in IDEXX Neo, including setup, usage, and troubleshooting.
SETUP
Users must have the System Admin permission to enable or disable Time Clock.
In Neo, go to Administration > Branch Settings. In the Time Clock dropdown, select Yes. Then click Save.
Once enabled:
- Staff can begin clocking in and out immediately using their individual logins.
- System Admins can view, add, edit, or delete time entries from Adminstration > Time Clock.
- Time Clock must be enabled in Administration > Branch Settings.
- Each staff member must log in using their own unique Neo credentials.
USAGE
All Neo users can clock in and clock out using the Time Clock.
Users must have the System Admin permission to manage time entries for staff.
To record time:
- Click Clock In next to your username to start your shift.
- Click In (Clock Out) when your shift ends.
- Confirm your name and optionally add notes before saving.
A green confirmation message will display after each action.
No. Staff users cannot edit or delete their own time entries.
If a correction is needed, you can enter a note when you clock in or clock out, or contact your practice administration.
- Click your username, then select Edit My Profile.
- Open the Time Log tab.
- Select a date range or specific date.
- Click Print to generate a PDF.
Only completed entries (after clock-out) are included in total hours.
Administrators can manage entries from Administration > Time Clock.
- View all staff time entries
- Add missing entries
- Edit or delete existing entries
- Export data as CSV or print as PDF for payroll
An Update Reason is required when modifying entries to maintain audit history.
TROUBLESHOOTING

Verify with your practice administrator that Time Clock is
enabled for your practice.
For multi-branch practices. Time Clock must be enabled for each branch.
- Your hours may not be showing as you expect for one or more reasons:
- You were logged in to Neo as a different user when you clocked in or out.
- For multi-branch practices You were logged in to a different branch when you clocked in or out.
- You forgot to clock in at the beginning of a shift or clock out at the end of a shift.
- Hours are only calculated after you clock out.
- Open entries (missing clock-out) will not count toward totals.
If your time entries are incorrect, you can enter a note when you clock in or out and /or speak with your practice administrator.
If you forgot to clock in or out, depending on your practice's process, you can:
- Record a time entry and add a note with the correct clock in or out date and time.
- Contact your practice administrator, who can manually add or update your time entry.
Time entries are automatically recorded using the current date and system time and cannot be edited by standard users.
If you need any changes made to your time entries, contact your practice administrator.
- Confirm you are viewing the correct date range in your Time Log.
- Make sure you are logged in to Neo as yourself.
Only users with System Admin permission can view and manage all staff time entries.
Non-admin users can only view their own time log.
- The user may not have clocked out.
- The entry may not have been saved successfully (no confirmation message displayed).
Only completed entries are included in totals and reporting.
- Exports and printouts reflect the current filters and date range selected.
- Only completed time entries are included in CSV exports.
Review your filters and date range before exporting or printing.
