Overview: Understanding multi-user consultation editing

Neo provides your practice the convenience to view and update same consultations on more than one device.

To help reduce data loss, you will receive notifications when you:

  • view or save a consultation when another user is accessing the consultation at the same time.
  • attempt to save a consultation where the notes have been locked by another user.

Notifications will prompt you to refresh your consultation when other users are working in the same consultation, and the latest changes are not displayed on your page if you: 

  • Edit a field that another user changed or deleted. 
  • Delete a product that another user changed or deleted. 
  • Close the consultation i.e., click Ready to Pay or Close Consultation.

If another user has saved changes to consultation notes, you will receive an overwrite warning when you save notes. 

While more than one user can enter consultation notes at the same time, we recommend waiting until you see the alert the other user has left the consultation to avoid overwriting data.

IMPORTANT: You will only receive multi-user notifications when the multiple Neo sessions viewing or editing the same consultation are logged in as unique (different) users. If the Neo sessions logged in as the same user, you will not see these notifications.

Note:

  • See Track consultation note edits to learn how to use consultation Notes Activity.
  • If a user is only working in the product section, the consultation notes will not be updated when they save the consultation.
  • Any new consultation product lines should save without overwriting another user's changes.
  • If two users are updating an existing consultation product line at the same time, changes from the last user to click Save will be reflected.

You will be alerted when another user is working in the consultation and when they leave the consultation.

Notes - Edit Notes

View and edit modes for consultation notes ensure you know who is entering notes.

You will be alerted when another user is working in the consultation notes and when they save their notes.

Notes - Save Notes

The overwrite warning will display any time you attempt to save updates to the consultation note after another user's saved changes.

  • Click Cancel to return to the consultation.
  • Click Save to save your changes.

Note: We recommend you confirm any changes made by the other user(s) i.e., click Cancel before clicking Save to reduce data loss.

If you click Save, we recommend you review the last user's changes on the consultation Notes Activity tab.

Notes - Locked Notes

You will be alerted when:

  • One user clicks Lock Notes; and
  • Another user clicks Save Notes.

Note: If you receive this warning, you can view your changes on the consultation Notes Activity tab.

Product Lines (invoice) and other fields

You will be alerted to refresh your page to see another user's changes when they have:

  • Changed the consultation provider.
  • Changed the product line you are trying to edit.
  • Deleted a product line you are trying to edit or delete.
  • Edited, deleted, or added a new product line when you try to close the consultation.
