Set up SmartFlow

SmartFlow is a separate application that provides your practice with an electronic whiteboard and patient flowsheets, which can be integrated with Neo to provide a seamless and streamlined patient workflow from reception to treatment to checkout.

With the click of a button, you can easily send patients from Neo to SmartFlow where you can track, complete, and automatically charge for treatments related to surgical and non-surgical procedures, boarding, and more.

Benefits of a Neo-SmartFlow integration

  • Simple one-step set up includes syncing your active products and providers from Neo to SmartFlow.
  • Send patients from Neo to SmartFlow with one click.
  • Once treatments are completed in SmartFlow, charges can automatically be captured on the patient consultation in Neo
  • When a patient is discharged from SmartFlow, the SmartFlow reports will automatically be saved to the Files tab.

Activate SmartFlow Integration 

  1. Set up an account with SmartFlow at https://www.smartflowsheet.com/.
  2. In Neo, click your name in the menu bar. Then select Administration.
  3. Under System Admin, click SmartFlow.
  4. For multi-branch practices only. From the Branch dropdown, review or select the branch you want to connect to SmartFlow.
  5. In the SmartFlow API Key box, enter the API integration key provided by SmartFlow.
    Tip: When you are logged in to SmartFlow, this key is located under Settings > EMR.
  6. Click Save.
  7. For multi-branch practices only. Repeat steps 4-6, as needed. 
    Note: You can use the same API key for multiple branches.

IMPORTANT: After clicking Save, the following information will be synced from Neo to your SmartFlow account:

  • All products that have an Active status.
  • Users that are active and have the Provider checkbox selected.

Note: After initially sending your products and users to SmartFlow, the following actions in Neo will automatically sync to SmartFlow:

  • Products:
    • Creating a new product
    • Updating an existing active product
    • Changing the product status from inactive to active
  • Users
    • Creating a new user and selecting the Provider checkbox.
    • Designating an existing user as a provider.
    • Updating an existing active provider.
    • For multi branch practices: Changing branch access for a user designated as a provider.

Deactivate SmartFlow Integration

The SmartFlow integration can be deactivated in Neo, if needed.

IMPORTANT: Neo will no longer send information to or receive information from SmartFlow when the integration has been deactivated.

  • Products, providers, and patients cannot be sent to SmartFlow.
  • Patient photos, weights, and hospital discharge events are no longer received from SmartFlow.
  1. In Neo, click your name in the menu bar. Then click Administration.
  2. Under System Admin, click SmartFlow.
  3. Click the menu button next to the API key and select Deactivate.
  4. You will receive a notification confirming you want to deactivate the SmartFlow integration.
    • Click OK to remove communication between Neo and SmartFlow.
    • Click Cancel to return to the SmartFlow page.
