Manage and send reminders

Reminders are useful tools for communicating with clients. You can send reminders by email, mail, or SMS message. You can also use the IDEXX Reminder Service to send postcards.

  1. Click your name in the menu bar. Then click Administration.
  2. Under General, click Reminders.
  3. Click All Due Reminders.
  4. The date range is set for the current month, but you can change it. If you change it, click Go.
    Tip: Select dates in the past for overdue reminders and dates in the future for reminders coming due.
  5. Use the drop-down list to filter your list:
    • All Reminders—All reminders in the specified date range.
    • Automatic Reminders—Reminders that will be sent automatically by an individual reminder email or through combined reminders email settings.
    • Manual Reminders—Reminders, such as postcards, that you need to send manually.
  6. Use the search box to search using information from any column header. For example; patient, client, or reminder names.
    Tip: Click a column headers to sort by that column. The Times Sent column shows how many times a reminder has been sent. The Next Send Date column shows when the next reminder will be sent and which method will be used.
  7. Select the check box next to individual patients or select all patients in the header to indicate which patients should receive a reminder.
    Note: If you are not using the combined reminders email, and a patient has multiple reminders due for selected period, they will receive a communication for each reminder due. It is recommended you manually choose one reminder per patient to ensure only one communication is sent per patient.
  8. Click Options and select one of the following:
    • Print Addresses to open the mailing labels in a new window, where you can edit or print them.
    • Print Letters to open the reminders in a new window, where you can edit, email, or print them.
    • Send SMS to send each reminder as a text message. The SMS may need to be approved in the SMS Manager before it can be sent.
    • Delete to delete the reminder.
      Important: Patient reminders on this page are the same record seen on the patient Reminders tab. Deleting any patient reminder from this page will also delete it from the patient Reminders tab.
      For practices with Vello enabled only. You will receive an alert asking you to confirm sending the reminders. This may result in a duplicate reminder being sent.
  9. To export the reminder information as a CSV file, click Export CSV.
