Add or update a procedure template

Create procedure templates to ensure consistency when recording consultation notes, invoices, and estimates in your practice.

Regular procedures can be configured as procedure templates with notes, products, and diagnostics, so they are automatically added to a consultation or estimate. You can add multiple procedure templates to a consultation, and they can be edited as needed.

You can also use procedure templates to bundle diagnostic products to create a custom panel.

Prerequisites: Products must be created before you can add them to the template.

Add a procedure template

  1. Click your name in the menu bar. Then select Administration.
  2. Under Branch Management, select Procedure Templates.
  3. Click Add Procedure Template.
  4. In the Add Procedure Template window, enter a name for the template. This is a required field.
  5. If you want this procedure's individual product lines to be hidden on a client invoice and instead display the procedure template name, quantity, and total price (sum of all lines) as a single line item, select Group in Invoice.
    Or leave the checkbox deselected to provide an itemized list on the invoice.
  6. Click Save.
  7. If you want to add products to the procedure template, click the Lines tab. Then click Add Product.
  8. In the Search box, begin entering a name of a product to search for the product. Then select the product from the drop-down list.
    Note: The list will automatically filter as you type.
  9. In the Qty box, enter a default quantity for the product. 
    Note:
    • Quantities can only be adjusted for non-diagnostic products.
    •  When you use the template on a patient consultation:
      • Quantities can be adjusted.
      • If the quantity is zero or blank when you use the template, the product will not be added to the patient's consultation.
  10. If you do not want to bill the customer for this product, select the Zero Price checkbox.
  11. Click the green check to save. The product is added to the list alphabetically.
    Or click the red X to cancel.
    Note: As you save products to the template, you can view the subtotal, tax total, and grand total based on the quantities entered.
    • To reorder products, click the rearrange icon  on the product row you want to move then drag it to the order you want.
    • To delete products, click the trashcan icon on the product row.
  12. Repeat steps 7-11, as needed.
  13. When you have finished adding products, click the Overview tab.
  14. Add notes, if appropriate, and format the template as desired. This is helpful for standardizing consultation history.
  15. Click Save.

Edit a procedure template

  1. Click your name in the menu bar. Then click Administration.
  2. Under Branch Management, click Procedure Templates.
  3. In the Search box, begin entering the name of the template. Then click the name to edit it.
    Tip: To include deactivated templates, select Show deactivated templates.
    Note: The list will automatically filter as you type.
  4. Make changes using the steps above. If you are changing the name of the template, change it just before you save it.
  5. Click Save.

Deactivate, reactivate, or delete a procedure template

You can deactivate a procedure template when you:

  • Are in the process of creating a new template and want to ensure it will not be used until it is complete.
  • No longer want an existing template to be used by your staff.

Deactivated templates can be reactivated, if needed.

You can also permanently delete a procedure template from Neo. For example, you created a duplicate template.

  1. Click your name in the menu bar. Then click Administration.
  2. Under Branch Management, click Procedure Templates.
  3. In the Search box, begin entering the name of the template. 
    Note: The list will automatically filter as you type.
  4. To deactivate a template, click the status toggle. Then template will automatically be hidden.
    To reactivate a template, select Show deactivated templates. Then click the status toggle.
  5. To delete a template, click the menu button. Then select Delete. 
    IMPORTANT: Deleting a procedure template cannot be undone.
