Do you need to reconcile controlled substances that you've invoiced to pet owners with your practice's controlled substance log? By creating a controlled substances product class, you can use the Inventory Audit or the Dispensed products by date range reports to reconcile controlled substances.
Note: The recommended report for reconciling controlled substance is the Inventory Audit, which lets you review all on hand quantity changes made to products with a Min amount by invoices, refunds, purchase orders, and adjustments.
If you prefer, you can use Dispensed Products in date range instead. This report lets you see all the patients who bought or received products and the total quantity sold per transaction.
One-time Setup
Create a product class and assign it to your controlled substance products to easily review controlled substance amounts in Neo.
Create the Controlled Substances product class:
Complete this first if you do not already have a Controlled Substances product class.
- Click your name in the menu bar. Then click Administration.
- Under System Admin, click Product Settings.
- Click Add Product Class and enter Controlled Substances. This will add a new class to allow for reporting on controlled substances.
- To save the product class, click the green check.
Change the product class assigned to a product:
- In the menu, click Products.
- Search for and select the product.
- In the Product Class box, click the dropdown and select Controlled Substances.
- Click Save.
Reconcile controlled substances
Record controlled substances as a product on a consultation. Products entered on consultations are recorded in the patient's record and are also included on sales reports.
Run the report:
The steps below are for the Inventory Audit report. If you use Dispensed Products in date range, the steps will be similar.
- Click your name in the menu bar. Then click Reports.
- Locate and click Inventory Audit.
Tip: Click the Filter buttonthen select Product from the Category drop-down, and/or enter a search term (for example, control or substance) in the Search box to quickly locate the report.
- You are now viewing the report information. Note the default date range is for the last 7 days.
- Review the report. Skip to step 11 if you do not need to filter and rerun the report.
- Edit the date range, as needed.
Tip: To edit the date range, use one of the date range presets (Today, Yesterday, Last 7 Days, etc.), or select a custom date range or specific date.- To select a custom date range, click the start date first. Then click the end date.
- To select a specific date, click the date twice.
- For multi-branch practices. Review or select the branch from the Branch drop-down.
- Enter a partial or full product name if searching for a specific product in the Product box.
- Click the gear
to view and select additional filters.
- Select your controlled substance product class from the Product Class drop-down.
- Click Run.
- Print or download the PDF file, as needed.
- Click Open PDF to print to a local printer or download the PDF.
- Click Cloud Print then select the cloud printer name to print to.
Neo Cloud Print must be configured for this option to display.
