GENERAL INFORMATION

AI Assisted Notes is designed to reduce the time veterinarians spend on documentation. By generating a draft SOAP note from a recorded transcription of the patient visit, AI Assisted Notes helps streamline clinical recordkeeping, while keeping you in full control. It’s built to support your existing workflows, giving you and your medical staff more time to focus on patient care without requiring a change in how they work.

⚑ How long will the AI Assisted Notes beta last, and what will it cost after the beta is complete?

AI Assisted Notes is currently in beta and free to use during this period.

We are still finalizing the timing for when the beta phase will end as well as any future pricing details. 

If charges are introduced, we will provide at least 30 days' notice, so you have time to review and plan ahead. We reserve the right to update terms and conditions, including pricing, at a later date.

Audio quality plays a big role in generating accurate transcriptions and useful AI-generated notes. Using a good-quality microphone and speaking clearly can make a noticeable difference. 

We recommend testing your microphone and setup before using AI Assisted Notes in a patient consultation to help ensure the best results.

The AI is currently optimized for English input. While it may pick up the occasional non-English word or phrase, consistent and accurate results cannot be guaranteed in other languages. 

For now, we recommend recording notes in English to ensure the best outcome.

The AI is built to understand plain English and commonly-used clinical language. In many cases, it can translate into appropriate medical terminology. 

That said, it will not always get it right. 

If you notice any words or phrases that are not being interpreted correctly, please let us know using the in-app feedback widget. We are continually refining the prompt behind the scenes, and your feedback plays a key role in helping us improve your experience.

Our transcription service uses the latest ML-models to filter out unwanted background noise and adjust for poor audio quality. However, extreme background noise or poor audio quality will adversely affect the transcription.

SETUP

No. At this time, AI Assisted Notes does not require any setup.

Yes. If for any reason your practice does not want to use AI Assisted Notes, the feature can be disabled in Administration > Branch Settings.

  1. Click your username. Then select Administration
  2. Select Branch Settings.
  3. From the AI Assisted Notes dropdown, select No.
  4. Click Save Settings.

Note for multi-branch practices. If you want to disable AI Assisted Notes for additional branches, you must log in to the applicable branch and repeat the steps above. 

Yes. AI Assisted Notes is enabled per branch under Administration > Branch Settings.

You will only see the AI Assisted Notes tab, recording, and transcription from a consultation when you are logged in to a branch that has it enabled.

USAGE

You can create a consultation from Neo as you normally do. After you save the consultation, you can record the exam or dictate your notes from the AI Assisted Notes tab.

Yes. You must confirm client's consent before recording. Neo will not allow you to start recording until the consent option is selected. Be sure to comply with your local laws. 

Neo does not automatically notify the client. It is your responsibility to inform them and confirm their consent before you start recording.

Note: Selecting the consent box in Neo alone does not qualify as “consent”; it is a reminder to gather consent however your practice is doing so. If you have questions about how your practice gathers consent from parties to be recorded, please speak with your practice administrator. We recommend saving a signed consent form in the patient record.

Not yet. Procedure templates and products /invoice functionality are not integrated with AI Assisted Notes but will be included in future updates.

We recommend that the technician start the recording for their part of the patient visit and then click Pause. Then the doctor can click Resume to complete their part of the exam. This will ensure the one recording is saved to one SOAP.

Another option is to create separate recordings: one for patient history, one for the exam.

Yes. You can pause the recording at any time then resume when you are ready. This is especially helpful if you need to step away momentarily or if you’re having a non-medically relevant conversation that you prefer not to include in the recording.

If you do not click Approve, the AI-SOAP transcription will not be added to the consultation note. 

You can click the AI Assisted Notes tab in the consultation to return to the transcription and, if needed, approve it so it is added the consultation note. 

TROUBLESHOOTING

The AI Assisted Notes tab will be disabled until a consultation is saved to the patient record. 

Tip: A saved consultation will have a consultation ID, which you can view above the patient information on the consultation page.

The Start Recording button will be greyed out until you select the consent checkbox. 

If you have selected the consent checkbox and the Start Recording button remains greyed out, please contact Neo Support.

To view the AI Assisted Notes tab: 

  • AI Assisted Notes must be enabled in Administration > Branch Settings.
  • The logged in user must have the AI Assisted Notes permission.

If you do not have access to AI Assisted Notes, please speak with your practice administrator.

To automatically add your AI-SOAP to the consultation note, go to the AI Assisted Notes tab and click Approve. Reminder: It is your responsibility to review the output for accuracy and completeness and edit, as necessary.
