Record a consultation with AI Assisted Notes

Record the exam or dictate your notes – documenting a patient visit has never been easier! IDEXX’s AI Assisted Notes increases efficiency and accuracy of recording patient visit notes, allowing more time in your day to focus on patient care. With the click of a button, you can automatically transform your recording to a formatted SOAP note.

This article teaches you how to create a recording using AI Assisted in and transfer the automatically-formatted SOAP to the consultation note. You will also learn how to view, edit, or delete the recording and transcription, as applicable.

IMPORTANT:

  • It is your responsibility to review, understand, and adhere to your state’s laws to obtain consent and record conversations. Minors 16 years of age and under should not be recorded.
  • This feature leverages Generative AI and Large Language Models (LLMs). It may occasionally introduce inaccurate information that could impact the clinical care of your patient. The user is responsible for reviewing this output and for ensuring that your medical records are complete and error-free.

Use AI Assisted Notes in a patient consultation

  1. Start and save a new consultation.
    or
    Update an existing consultation.
  2. Click the AI Assisted Notes tab.
    Tip: If you cannot click the AI Assisted Notes tab, make sure you have saved the consultation.
  3. To confirm all parties have consented to being recorded, select the available checkbox. 
    Note: Selecting this box alone does not qualify as “consent”; it is a reminder to gather consent however your practice is doing so. If you have questions about how your practice gathers consent from parties to be recorded, please speak with your practice administrator. We recommend saving a signed consent form in the patient record.
  4. When you are ready to begin recording, click Start Recording.
    Tip: If you see a browser pop-up requesting permission to use your microphone, select Allow while visiting the site or Allow this time.
    • Recording will start immediately.
    • To pause the recording, click Pause AI Assisted Notes pause.png.
    • To restart recording, click Play AI Assisted Notes play.png.

  5. When you have completed the recording, click Stop AI Assisted Notes stop.png. Wait for the audio file to save and the transcription to finish being converted to a formatted SOAP note; you will see a preview of what the AI-SOAP will look like.

    IMPORTANT: To protect the health and well-being of the patient and ensure all information is accurate, you are responsible for reviewing the AI-SOAP notes that were generated from your recorded transcription and making any updates, as applicable. See the important note at the beginning of this article for more information. 
  6. Review the AI-SOAP notes. To make any changes, click Edit.
    Note: Editing the AI-SOAP will not modify the audio recording or transcription.
    Tips: 
    • Click the menu button then select an action, as applicable.
      • To view the transcription, select View Transcription. The transcription will display to the right of the recordings.
      • To listen to the recording, select Play Recording.
      • To delete the recording and transcription, select Delete.
    • To view the AI notes, click the View icon.
    • To view the logged in user at the time the recording was completed, hover your mouse over the recording in the Recordings list.
    • To start a new recording, click Record.
  7. To send the AI-SOAP to the consultation notes, click Approve. You will now be viewing the SOAP in the consultation Notes.
  8. To make additional changes, including any formatting, update the SOAP in the consultation Notes.
  9. Click Save Notes.

Additional information

  • The maximum length for one recording is 20 minutes.
  • More than one recorded transcription can be saved to a consultation.
  • More than one AI-SOAP can be added to the consultation Notes.
  • When you approve sending the AI-SOAP to the consultation Notes:
    • The AI-SOAP in the AI Assisted Notes tab will be locked from further editing.
    • The SOAP will be appended to the end of any existing notes; and existing notes will not be overwritten.
    • Any changes made to the SOAP in the consultation notes will not update the transcription or AI-SOAP.
