Navigate the Schedule and view appointment audit details

The Schedule provides several different views to help easily locate patient appointments and changes to those appointments.

On the Schedule, you can see: 

  • Calendar view 
    • All scheduled appointments for a day 
    • A single provider’s appointments for one week  
  • List view 
    • All scheduled appointments for a day 
    • All appointments including Cancelled, Deleted, or Rescheduled appointments that no longer appear on the Schedule.

View appointments for the current or different date 

Whenever you click the Schedule tab, the calendar defaults to today’s date. You can navigate to a different date using the available date picker. Return to “today” with the click of a button!

  1. Click the date in the date picker. 
  2. Optional. Click the forward or back arrows to move to a different month. 
  3. Select a month from the month dropdown, as needed. 
  4. Select a year from the year dropdown, as needed. 
  5. Click on the date you want to view.

  • Click Today to return to the current date. 
  • Click the forward or back arrows to the next or previous date. 

 

View a single provider’s schedule for a week 

You can easily view a provider’s appointments for the week on the calendar. For example, if you want to see when the next available appointment is for a doctor; or if a staff member wants to see how their schedule looks for the week. 

  1. Click the Schedule tab. You will see the current day's appointments for all providers. 
    Note: You can change the day using the arrows or the calendar.
  2. Select a provider from the Provider dropdown list.

The calendar will change and show that provider’s appointments for the week. 
Note: Block appointments do no display in this view. 

 

Send SMS appointment reminders

Create and confirm SMS appointment reminders sent to the client’s mobile number on record. 

When you click SMS:

  1. SMS reminders will be created for all appointments on the day currently being viewed. 
  2. You will automatically be taken to the SMS Manager > Ready to Approve tab; so you can review and select which appointment reminders to send. See Manage SMS text messages for more information. 

Note:

  • Only clients with a mobile number at the time the SMS is sent will receive a reminder.
  • SMS appointment reminders will not be created or sent for a client if one has been sent to that client/patient within 24 hours. 
  • For practices with Vello two-way text messaging enabled only. You will receive an alert asking you to confirm sending the appointment reminders from the Schedule. This may result in a duplicate reminder being sent. See Send and receive SMS (text messages) with Vello for more information.

 

Change your Schedule view or locate appointment audit information

List view – Provides a list view of the current day’s appointments.

Audit list – Provides a list of your practice’s Cancelled, Deleted, and Rescheduled appointments that no longer display on the calendar. This is the best place to look for an appointment you feel is missing or has been moved.

Full /condensed view – Switches between full and condensed details on the appointment card. 

  • Condensed view – Appointment status, patient name, client name, appointment start and end times, and appointment notes 
  • Full view – Condensed view plus provider and appointment type 

 

Create a new appointment

Create a new patient appointment from the Schedule. 

Tip: You can create a new patient and client from the New Appointment window, as needed

Switch between the appointment schedule and boarding reservations
