The Consultations list provides all users with a view of all consultations created at your practice, that you can filter different ways to help prevent missed charges and ensure your consultation notes are complete.
Here are some examples of how to use the Consultations list:
- View a list of draft consultations.
- View a list of unlocked consultation notes.
- View consultations so you can audit.
- View consultations that have been voided.
- For SmartFlow users. View a list of in progress or discharged SmartFlow consultations

Note: Counter sales and refunds do not display in the Consultations list.
Consultation list views and filters
The default view of the Consultations list is all consultations created in the past 7 days including today, sorted by the consultation date. Voided consultations are not included in the default view
The default view is also determined by the logged in user:
- If the logged in user is designated as a provider, the Consultation list will automatically filter to that provider’s consultations.
- If the logged in user is not designated as a provider, the Consultation list will automatically filter to all consultations for all providers.
Note: The “All” provider selection includes both active and inactive users that were designated as a provider.
The Consultations list provides the following information:
- ID - The consultation ID.
- Date Range - The consultation date. The default sort order.
- Client - The full client name.
- Patient - The patient name.
- Provider - The consultation-level provider.
- SmartFlow - For SmartFlow users only. The consultation-SmartFlow status (In Progress
, Discharged
).
- Note - The consultation note statues (Locked
, Unlocked
).
- Invoice Status - The consultation invoice status (Draft, Unpaid, Partly Paid Paid).
Tip: Click on a column heading to sort by that column. You can sort the list by ID, Date Range, Client, Patient, or Provider.
Filter your consultation list and view consultations
Filters are available to customize your Consultations list view:
- Click Consultations.
- Edit the Date Range, as needed. Use one of the date range presets (Today, Yesterday, Last 7 Days, etc.), or select a custom date range or specific date.
- To select a custom date range, click the start date first. Then click the end date.
Note: You can select up to a 6-month date range. - To select a specific date, click the date twice.

- Select a provider, as needed.
Note: Providers are grouped by status (Active, Inactive) and sorted by username. - Select additional filters, as needed.
- Note - Locked, Unlocked
- For SmartFlow users. SmartFlow - In Progress, Discharged
- Invoice Status - Draft, Unpaid, Partly Paid, Paid, Voided
Note: Selected filters will be included in your Consultations list view.
- Click on a consultation ID to view the consultation. Update the consultation, as needed.
Note: The consultation will open in a new browser tab.
Tip: Click on a client or patient name to be taken to the corresponding Overview tab. The record will open in a new browser tab.
Start a new consultation from the Consultations list
You can start a new consultation for the active patient in the patient quick list from the Consultations list.
- Click the New Consultation button.
- Enter your notes and products for the patient visit.
