Practice Dashboard

The Practice Dashboard in Neo provides you with insights to Key Performance Indicators (KPIs) for your practice. KPIs allow you to assess the health of your practice based on measurable values that demonstrate how effectively your practice is achieving key business objectives.

You can use KPIs to compare your practice to national performance standards for practices similar to yours in size or within your geographic region.

Common examples of KPIs include:

  • Average client transaction (ACT)
  • Gross Sales
  • Net Sales
  • Number of new clients
  • Number of new patients

Permissions required: Reports, Practice Dashboard

 If you have permission to the Practice Dashboard, it will always be the top of the Reports list, unless you perform a search on the Reports page for a metric or keyword not associated with the dashboard. For example, adjustments, mailing, SMS.

Note: The Practice Dashboard cannot be selected as a favorite.

Viewing and Understanding the Practice Dashboard 

  1. Click your name in the menu bar. Then click Reports.
  2. Click Practice Dashboard.
  3. Edit the date range, as needed.
    Note: The default date range is the last calendar month. The maximum date range is 5 years. Use one of the date range presets (This Week, This Month, Last Month, etc.), or select a custom date range or specific date.
    • To select a custom date range, click the start date first. Then click the end date.
    • To select a specific date, click the date twice.
  4. For multi-branch practices only. The practice dashboard will default to the logged in branch. Select a different branch or All Branches from the dropdown list, as needed.
    Note: Selecting All Branches will provide a total based on activity at all branches.
  5. Review the dashboard metrics. Repeat steps 3-4, as applicable.
    • Section 1: Total Sales, Average Sales, Discounts, and Invoices
    • Section 2: Gross Sales Trends, Sales by Top 5 Species, and Sales by Top 5 Product Class
    • Section 3: Patient Visits and Client Visits
    • Section 4: Payments and Appointments
    • Section 5: Provider Performance
      Tip: See the table at the end of this article for details on each section.
  6. Click the Print button   to print the Practice Dashboard, if needed.
    Note: The Provider Performance donut charts will not print. Top Species and Top Product Classes will print stacked instead of side-by-side. 

Everything on the Practice Dashboard is calculated based on the last close date on closed invoices, refunds, and counter sales with at least one product; unless otherwise noted.

The practice dashboard does not include: closed consultations that do not contain any products; open (Draft) consultations; estimates, adjustments; prepayments; and write-offs.

Multi-branch practices: Uses the branch the transaction (consultation, payment, etc.) or activity (For example, appointments) was created in.

Invoices

Total number of closed invoices, refunds, and counter sales with at least one product. Includes $0.00 invoices and counter sales.

 

Excludes drafts, estimates, adjustments, prepayments, and write-offs.

Does not include $0.00 invoices and counter sales.

Multi-branch practices: No branch filter. All branches display on the spreadsheet.

Gross Sales Trending Graph

A trending graph that displays gross sales for the selected date range.

 

Note: The X axis labels will change based on the length of the selected date range.

Section 3 – Patient Visits and Client Visits

The total number of closed invoices, refunds, and counter sales. This is the total count of all patient invoices.

Note: $0 invoices are included in the total count; notes-only consultations are not included.

Total of new patients created in the selected date range.

Includes active, inactive, and deceased patients.

Active Patients

Total number of active patients that have had a closed invoice in the last 18 months.

 

Multi-branch practices: An active patient is counted for the client’s current branch (“Associate ID”) on their client Overview tab, regardless of which branch created the record.

Average Patient Transaction (APT) The average gross sale = total gross sales / total number of closed invoices. Consultation last closed date Average gross sales for the practice on the Gross Sales in section 1 of the practice dashboard.

Client Visits

The total number of closed invoices, refunds, and counter sales for clients. A client visit is counted once for each date they have a closed invoice in the selected date range.

 

This means one client visit can consist of multiple patient invoices closed on the same day.

Total of new clients created in the selected date range.

Includes active and inactive clients.

Active Clients

Total number of active clients that have had a closed invoice in the last 18 months.

 

Multi-branch practices: An active client is counted for the client’s current branch (“Associate ID”) on their client Overview tab, regardless of which branch created the record.

Average Client Transaction (ACT)

The average gross sale = total gross sales / client visits.

 

IMPORTANT: This number may not match the patient or practice average gross sale, as one client visit may consist of multiple closed patient invoices.

Total Payments

Total of all payments collected within the selected date range.

 

Multi-branch practices: Based on the logged in branch when payment was recorded.

Total outstanding debt as of the end date on the selected date range.

Provider Performance

Provider metrics are based on the line item provider for invoices closed in the selected date range.

 

Note: Calculating production based on paid invoices is not currently available.

Provider Percentage
