REPORT TIPS

Double-click the column line divider at the top of the column or click and drag the line to the right in order to expand those cells in your spreadsheet. Please refer to your spreadsheet software’s help system for additional information on working with spreadsheets.

When viewing the Reports page, you can find reports and understand what information is included quickly and easily using the available navigation tools to filter the report list.
  • Click the Filter button mceclip0.png then select one or more report categories from the available drop-down. For example, Patient Reports; and /or
  • Enter a search term in the Search box. For example, who bought.
    Note: The search term entered will return results that match:
    • The report name.
    • The report description.

Yes! You can filter the Reports page by selecting one or more of the Reports category filters.

To remove a report from the Favorites list, click the gold star next to the report name..

There is no limit to the number of reports you can add to the Favorites list. However, we recommend only designating those reports you use most frequently (for example, on a daily, weekly, or monthly basis) as a favorite.

Yes! The Favorites list will display for the currently logged in user.

If you are a user logged in to Neo in the Business Owner or Vet role, your Home page dashboard view was removed because the Practice Dashboard is now available on the Reports page. Click your name in the menu bar, and then Reports to find the new Practice Dashboard.

Note: If you do not have permission to the Practice Dashboard, please contact your practice administrator.

When you log in to Neo, all users will see the same Home page with important information about today’s appointments and patient arrivals, as well as your Task List.


The Business Snapshot is automatically hidden each time you access the Home page, to protect financial information when you log into Neo or need to access your task list in more public areas.
 
Click the arrow on the right side of the Business Snapshot header to view the Business Snapshot information.

There’s no report needed to balance your payments. Simply go to Administration > Payment Summary. The Payment Summary page displays all payments for the specified date range, as well as, totals for each payment method.

Note: You must have the Payment Summary permission in order to view the Payment Summary page. If you do not have permission to the Payment Summary, please talk with your practice administrator.

Depending on the level of detail needed, you can use one of the following:

If your clients do not always pay at the time of service, the Payment Summary will display differently depending on which Individual Client Payments and Invoices spreadsheet you're reviewing.

To view the daily, monthly, and yearly sales totals, you can review the Sales by Product Class report to review practice sales based on the product classes set up in your Neo software. For example, examinations, surgery, laboratory, pharmaceuticals, and so on.

The Sales by Product Class report includes closed consultations, refunds, and counter sales. The date used is the invoice last closed date.

For users with the Business Owner role. You can also review the business owner dashboard on the Home page to view totals for the current and previous month.


Use the Aged Debts report to view the practice’s accounts receivable. You can change the date range to view the amounts in different aging periods (current, 30, 60, and 90+ days).
You have the option to create a CSV Export from Administration > Statements. Note: This information will match the Outstanding amount on the Practice Dashboard.

PRODUCTS, SALES, AND DISCOUNTS

The Number of Transactions report has been archived since it provided similar information to the new Practice Dashboard.

Use the Dispensed Products in Date Range report to search for products that were sold in a specific date range. You can filter the report by product class to search for all products in the same class or by product name to search for all products with a similar name. The report displays details including patient, doctor, product, and quantity.

Depending on the criteria (age, species, etc.) needed to filter the report, you can use one of the following reports to determine who bough or who received ("who got") a product:

  • Displays invoice details, including patient, doctor, product, and quantity
Patient Mailing Lists with filters for Products and Signalment Reports > Patient Report
  • Filter by product name, patient sex, age, species and status
  • Displays client and patient details, including patient name and species, client name, address, phone numbers, email, product name, last sale date, product quantity, and amount charged

To view total discounts given for a specified date range, you can review the Practice Dashboard.
To view discount totals by discount type for closed invoices, you can review the Discount Summary report.

The Discount Summary report also provides line item sales and discount amounts, grouped by discount type.

To view discount totals by product class, you can review the Sales by Product Class report.

The Discount Summary and Sales by Product class reports use the invoice last closed date.

The Sales Grouped by Product Class has been archived since it provided similar information to the new Sales by Product Class report.

You can see who applied a discount to a product by using the Discount Summary report. The staff in the Discount Details and exported CSV file displays the user logged in to Neo at the time the discount was applied.

You can review discount amounts by product class by using the Sales by Product Class report.

Gross sales are your sales amounts before discounts and excluding tax. Net sales are your gross sales after discounts have been applied.

Hover your mouse over each plot point of the Gross Sales graph, or any section of any donut chart, to view the corresponding amounts for the selected date range.

Hover your mouse over any bar in the Discount Summary bar chart to view the discount type and discount amount for the selected date range. The discount amounts by discount type can also be viewed in the Discount Totals directly below the bar chart.

Hover your mouse over any bar in the Sales by Product Class bar chart to view the product class and product class sales amount for the selected date range.
 
The sales amounts by product class can also be viewed in the Product Class Totals directly below the bar chart.

The Practice Dashboard includes sales amounts based on the date the invoice was closed. 

If the Payments amounts are different, a payment may have been deleted and /or reentered with a different payment date.

If the Provider Performance amounts are different, a line item provider may have been corrected for one or more consultation product lines after the invoice was closed.


Yes. The Provider Performance donut charts are not included when printing the Practice Dashboard.

If available, you can print a bar chart by clicking the Print Chart button.
If there is no Print Chart button, you can right-click on the page outside of the bar chart area and select Print.

If your practice is using Neo Cloud Print, click the Cloud Print button. Then select the cloud printer name to print the report to.
If your practice is using a local printer, click the Open PDF button. Then right-click on the PDF and select Print.

The Sales by Product Class report shows amounts based on what the current product class is for the products.

Go to Reports > Product Reports, and then click the Inventory Listing report to print a price list. The report displays product details such as product name, cost, selling price, markup, tax rate, fixed fee, and more.

Use the Inventory Audit or the Dispensed Products in date range report to view all products invoiced from the controlled substance product class. To learn more about our recommendations for setting up controlled substances, see Reconcile controlled substances.

The current product quantity and cost can be found and totaled using the Inventory Valuation report. Because this report does not have a date filter, you cannot review the cost on hand for a previous date range. We recommend you save a copy of this report if you’ll need to review past inventory quantity or cost information.

The Inventory Expiration report can help you identify which of your products are close to expiring or already expired. This report's date range represents the expiration date; when you run the report, you will see the product name, product class, expiration date, and batch number.

To view additional details including the product ID and branch in a spreadsheet, click Export CSV.

TAX

You can view the tax rates for all products on the Inventory Listing report.

The Sales Tax Summary reports display the sales and tax amounts for the selected date range by tax component and rate.  If the tax rate is changed during the specified period, the reports show two lines for the tax component—one line with the original tax rate and totals and a second line with the new rate and totals.

(Taxable Sales x Tax Rate) may not match Tax Incurred for each tax component due to rounding. Tax amounts in Neo are calculated for each individual taxable product or service; when totaled, rounding may account for this slight difference. Tax Incurred or Collected is the true total of tax amounts presented on client invoices.

The Sales Tax Summary – Accrual Basis contains all invoices, refunds, and counter sales closed in the specified date range, regardless of the payment status.

The Sales Tax Summary – Cash Basis contains all the invoices, refunds, and counter sales paid in the specified date range.

The Sales Tax Summary - Cash Basis contains all invoices and refunds sales and tax amounts that were paid in the specified date range.
The Payment Summary contains all payments, including prepayments (deposits) collected in the specified date range.
Sales reports, as well as the Practice Dashboard, contain all invoices and refunds closed (marked ready to be paid) in the specified date range.
The Invoice Total and Amount Paid columns in the Sales Tax Summary - Cash Basis CSV export are not expected to equal your Payment Summary or any total sales for the same reporting period. The CSV export will intentionally contain more than one row for the same invoice ID to accurately reflect if on the invoice there were: 
  • multiple tax rates; and /or
  • multiple tax components; and /or
  • multiple payments for the same invoice within the specified date range.

The Sales Tax Summary - Cash Basis Tax Amount column in the CSV will equal the Total Tax Collected on the Sales Tax Summary - Cash Basis page and PDF.

STAFF  

View the Practice Dashboard, Provider Performance to see the # of invoices, average gross sales, gross sales, net sales, and % of total gross sales by provider for the selected date range.

For total product quantities and sales amounts invoice, you can filter the Sales by Product Class report by each provider to view sales totals by doctor.

For the invoice details, you can filter the Sales and Cost of Sales filtered by Veterinarian report by each provider to view sales totals by doctor.

PATIENTS 

The Client /Patient Activity grouped by Branch report has been archived since it provided similar information to the new Practice Dashboard > Patients and Clients activity section.

Change the date range on the All Due Reminders page to view a list of patients with overdue reminders (go to Administration > Reminders. Then click All Due Reminders).
 
If you’d like to view the patients overdue for a specific reminder, go to Administration > Reminders and then click the reminder’s description to change the date range for that specific reminder.

Use the Patient Mailing Lists with filters for Products and Signalment report to quickly create a list of patients who were sold a euthanasia, cremation, or disposal fee during a specific date range. You can filter the report using the product name and Patient is Alive filters.
You’ll need to run the report for each product type. For example, if you enter euthanasia in the product name filter, it should return all products with euthanasia in the product name to your report.
 
Note: For any patients invoiced for a euthanasia and a disposal method, they will appear on the report for each product type.

All rabies tags issued for a specified time period can be found using the Rabies Vaccines and Tags report.

CLIENTS

Your top 1000 clients can be found on the Clients By Amount Invoiced (Top 1000) report.

Find clients that haven't visited this year but did visit last year using the Find your "lost" clients report.

The number of patient visits on the Practice Dashboard is all invoices closed in the selected date range.  A client visit is counted once for each date the client has a closed invoice in the date range. This means one client visit can consist of multiple patient invoices closed on the same day.

APPOINTMENTS

Yes! You can view the total number of no show appointments for the selected date range on the Practice Dashboard.

You can use the Appointments Summary report to view more detailed information about no show appointments.

The number of "not arrived" appointments represents the appointments not checked in from the selected date range.

The total number of cancelled appointments can be found in two places:
  • the Appointments section on the Practice Dashboard or
  • the Audit List button Appt_Audit_List.png on the Schedule filtered to view cancelled appointments

Click the Audit List button Appt_Audit_List.png on the Schedule and then filter to view only rescheduled appointments. 

The Total Appointments metric on the Practice Dashboard includes any appointment that still appears on your schedule – Not Arrived, Arrived, Late, No Show, In Progress, Ready to Pay, and Finalized. It does not include cancelled and deleted appointments.
