Configure branch settings

Configure your branch settings with the default markup and tax rate for your products; medical note entry shortcuts or macros (Notes Autocomplete); and more.

  • If you converted data from your previous system, review the settings and make changes as needed.
  • If you did not convert data, Neo includes default settings to get you started. Review the settings and make changes as needed.

 To learn how to customize your appointment schedule, see Configure appointment settings.

  1. Click your name in the menu bar. Then click Administration.
  2. Under System Admin, click Branch Settings
    Note: You can hover your mouse over any help icon next to each box to learn more about it.
  3. In the Counter Sales Client box, enter the client ID to use as the default counter sales client for cash sales. 
    Note: The client must be created in the system before you can enter the ID in this box.
  4. In the Default Diagnostics Markup box, enter a different default markup rate for IDEXX Reference Laboratories diagnostics products that don't have a unique setting, or use the default one. See Set up diagnostic markup for more information.
  5. In the Default Markup box, enter a different default markup rate for new products, or use the default one.
  6. In the Default Tax Rate ID box, select a different default tax rate ID, or use the default one. 
    IMPORTANT: If the default tax rate is 0% and that is not your tax rate, you need to edit it. If most of your products and services are tax free, we recommend you use the 0% tax rate as your default rate. You can change the rate for specific products in their product details. See Add or edit a tax rate to learn how to add more tax rates.
  7. From the Default Weight Unit drop-down, review or update the weight unit that automatically will be selected when you enter a patient weight. The weight unit can be changed when recording a patient weight.
    Note: Updating the Default Weight Unit setting will not convert existing patient weights.
  8. If you have multiple branches and use Deputy.com, enter the branch ID in the Deputy Company ID box.
  9. In the Notes Autocomplete box, enter autocomplete shortcuts for consultation notes. Each shortcut should appear on its own line and be formatted like this:
    abd=abdominal
    n=Normal
    earclean=Ear cleaning:  Your pet's ears were cleaned today so they may be a little sore.  You may start treating them tomorrow morning.  Be gentle!  You should medicate for 10-14 days (longer if recommended by the doctor).  Have the ears rechecked in _____ days to be sure the infection has cleared up.
  10. In the Operating Areas box, enter the names of operating areas to appear as procedure rooms. Separate each room with a comma.
  11. In the Price Warning Delta box, enter the percentage difference between an old price and a new price to create a price warning alert.
  12. From the Send SMS Immediately drop-down list, select Yes to allow staff to send SMS messages without an approval.
    For practices using Vello only. This setting is not applicable when Vello two-way SMS messaging is enabled.
  13. From the Symptoms Database drop-down list, select the symptoms database to use for the for the master problems list.
  14. In the WIP Areas box, enter areas to use as "work in progress" procedure rooms. Procedures created in these rooms remain visible until the procedure is completed.
    IMPORTANT: Do not leave blank. Enter a value such as
    “Inpatient” or “Do Not Use” if you don’t use procedure rooms in IDEXX Neo.
  15. Click Save Settings.
